The refit yards at La Ciotat run on documentation that mostly does not exist.
Walk the hardstanding on the Provence coast in late autumn and the problem is visible without anyone explaining it. Hulls from thirty to eighty metres sit in cradles with superstructure open and machinery spaces stripped back to bare mounts. Every one of those vessels is, for a few months, a repository of knowledge about itself: where the cable runs actually go, which frame the new stabiliser foundation was welded to, what the yard found behind the panel nobody had opened since delivery.
Then the panels go back on and most of that knowledge evaporates. Three years later a chief engineer on the same hull is drilling an exploratory hole to find out what is behind a bulkhead that a refit crew could have described exactly.

Any comparison that treats it as legacy software waiting to be displaced is selling something. What follows is the version a fleet manager can use in an evaluation — where IDEA wins, where the gaps are structural rather than temporary, and what the published prices do and do not tell a buyer.
Quick Answer: IDEA Yacht vs OwlMar
IDEA Yacht is the stronger choice if the fleet:
- Is technically heavy — 50m-plus hulls with substantial build and refit histories worth documenting
- Wants photographic build and refit records as a first-class part of the maintenance system
- Needs integrated crew check-in and check-out against a physical access workflow
- Runs no charter operation, or handles charter entirely through a broker and a separate accounting stack
- Values a two-decade installed base as a procurement signal in its own right, which for a risk-averse owner or board it legitimately is
OwlMar is the stronger choice if the fleet:
- Runs charter alongside technical management, so bookings, APA and guest data currently live outside the PMS
- Loses real engineering hours to searching manuals and service history for answers the system already holds
- Wants a cost model it can build on a Tuesday afternoon from published pricing, without a sales cycle
- Is standardising a mixed fleet where every vessel arrived with a different combination of paper, spreadsheets and legacy systems
- Needs owner-facing reporting that combines technical status and financial performance in one document
The honest verdict: these two are direct competitors at Fleet and Superyacht scale, and the decision is not a feature count. IDEA is deeper on documentation and has the incumbency. OwlMar covers the commercial half of a yacht operation that IDEA has never entered, and adds an assistant layer IDEA does not have. A fleet that is purely technical, with no charter exposure and no appetite for AI, has a defensible reason to stay where it is.
What IDEA Yacht Actually Is
IDEA Data Solutions GmbH started in Düsseldorf in 2001 and is marking its 25th anniversary in 2026. That tenure is the single most important fact about the company, and not for sentimental reasons: twenty-five years in a market this small means the product has been shaped by real vessels rather than by a roadmap, and it means a great many chief engineers learned planned maintenance on it.
The scale claims have moved recently, which is worth recording precisely. OwlMar's own competitor file from August 2026 recorded 1,200-plus installations and 450-plus database set-ups. A fresh check of idea-yacht.com in September 2026 returns higher figures: more than 1,300 installations and more than 600 database set-ups, across vessels from 20 metres to over 180 metres, while third-party directory listings still carry the older numbers. The direction of travel is the point — this is a vendor still adding hulls, not one coasting on an installed base.
The product family has grown too. Alongside the two lines previously on file, the vendor now presents:
- IDEA YACHT — the flagship system for large vessels, sold as a configured solution
- IDEA GT — a packaged, self-contained option for smaller hulls, with a published price
- IDEA FLEET — a fleet-level portal aimed specifically at management companies running multiple vessels
- IDEA ASSET — asset management, presented as a separate line
- IDEA Finance — a finance module covering onboard expenses, budgets and approvals
The module list inside IDEA YACHT reads like the working week of a chief engineer on a 45m. Vessel database and centralised equipment data. Document manager for manuals and technical files. Engine room logging with digitised entries. Logs and rounds. Stock control for spares. A snag list driving repair workflow. ISM certificate and form management, digital safety procedure documentation, drill scheduling and incident reporting. Hours-of-rest tracking in the MLC mould. A crew and guest database. Task management and live checklists. A mobile app with unlimited users, and NFC tag integration so a task can be recorded against a physical piece of equipment rather than typed in from memory.
The finance side has deepened since the August research pass, which is a correction worth making plainly rather than quietly. Earlier notes recorded budget tracking and cost visibility with no evidence of real depth. The vendor now describes purchase order generation, supplier tracking and integration with accounting systems alongside the budget and approval workflow. What the public material still does not establish is payroll handling, or the mechanism by which that accounting integration works — no developer documentation is published either way.
That is a serious product. An operator who reads that list and concludes it covers the technical and compliance requirement of a professionally crewed yacht is reading it correctly.
Where IDEA Yacht Is Genuinely Ahead
Comparison articles normally bury this section. It belongs near the front, because two of these items are things OwlMar cannot do.
360° photo documentation. No other vendor in this category offers it, including OwlMar. For a fleet with vessels coming out of new build or a major refit, the value compounds in a way that is hard to argue with: the cost of capturing the state of a machinery space during a yard period is trivial compared with the cost of an exploratory strip-out five years later. A management company that takes on a vessel with a documented build has inherited something genuinely rare.
Crewboard. An integrated check-in and check-out application for crew, tied to the crew and guest database. OwlMar has no equivalent. For a vessel with a real access-control requirement — a large yacht in a busy yard, a vessel with contractors moving through daily — this is an operational tool rather than a feature list entry.
Incumbency as a procurement answer. Twenty-five years and 1,300-plus installations is a complete answer to the question a cautious owner or board asks, which is not "what does it do" but "who else runs it". That matters most in exactly the segment where OwlMar has the steepest climb: a management company pitching a newly delivered 55-metre to an owner who has been advised to ask about vendor stability. A well-known German software house with a quarter-century of yacht references is an easier line in that presentation than a newer platform, whatever the feature grid says.
A real fleet product, not a bolt-on. IDEA FLEET exists as its own line with its own positioning. Plenty of vendors describe multi-vessel support as a configuration of their single-vessel product. IDEA treats the management company as a distinct customer with distinct needs, and a fleet manager evaluating vendors should credit that.
These are the reasons a fleet already running IDEA well should be slow to move, and an honest evaluation has to weigh them against what follows.

Two rows need reading against each other rather than in sequence. IDEA's maintenance and compliance columns are as strong as anything in this market, with a decade-plus of audit evidence behind them. Its charter and AI rows are empty. Everything that matters in this comparison lives in the tension between those two facts.
The API row needs a caveat. No developer documentation, endpoint list or webhook specification is publicly discoverable on IDEA's site, and the one named external relationship found in research — ACREW, a crew recruitment agency listed as a partner — is a commercial partnership rather than a technical integration. That is not proof no API exists; IDEA does not publish either way. The practical consequence for a buyer is the same regardless: an integration requirement cannot be verified before a sales conversation.
The Two Gaps That Have Not Closed in Twenty-Five Years
Most competitive gaps are timing. A vendor has not got to something yet, ships it eighteen months later, and the comparison is stale. These two are different, because the absence has persisted across the entire life of the product and through three separate OwlMar research passes since June 2026.
Charter does not exist in IDEA at all
Not thin, not partial — absent. There is no charter booking, no availability calendar in the commercial sense, no guest preference handling, no provisioning workflow tied to a charter, and no APA reconciliation. The crew and guest database holds guests as people aboard for safety and access purposes, which is a different data model from guests as paying clients with money held on their behalf.
For a purely private fleet this costs nothing. For anyone chartering, it produces the same arrangement every time. The PMS holds the vessel as an asset — hull, machinery, certificates, crew assignments. A second system holds the same vessel as inventory — availability, rate, cabin configuration, booked weeks. Both are correct. Neither is complete. And the reconciliation between them is done by a person.
The failure modes are predictable. A maintenance window scheduled against the asset does not block the corresponding week in the booking system, so a charter gets sold into a haul-out. A crew rotation entered for certification does not update who the charter side thinks is aboard. Costs that are both technical and charter-attributable get keyed twice and categorised differently each time. The structural point stands on its own: the boundary between technical and commercial is not a natural feature of yacht operations. It is an artefact of the software.
There is no AI layer
IDEA's maintenance engine works on calendar intervals and running hours. That is the standard model, it has been correct for decades, and it answers the question "what is due". It does not answer "what is drifting", and it does not answer a question asked in a sentence.
The difference shows up in the specific moment that eats a chief engineer's week. A generator is behaving oddly. The answer is somewhere — in a manual in the document manager, in a service report from two engineers ago, in an oil analysis result filed under a yard period. Finding it means knowing where to look, and knowing where to look means having been aboard long enough to have built that map. An engineer six weeks into a new vessel has not built it, and the handover notes from the predecessor are, as ever, a list of passwords.
OwlMar's Wyse-I assistant answers that question against the vessel's own document set and service history — when the port gearbox oil was last sampled and what the analysis said, without constructing a report. On the maintenance side, pattern analysis across history and usage flags drift before it becomes a failure rather than waiting for the interval to come round.
This is where the real literacy gain sits for an incoming engineer, and it is worth being precise about why. The value is not that the software is clever. It is that the vessel's accumulated knowledge stops being tacit — stops living in the head of whoever has been aboard longest — and becomes something a new engineer can interrogate directly in week one. The relevant reading on that transition is how AI is changing superyacht engineering.
Pricing: What the €9,900 Figure Actually Covers
IDEA publishes one price, and reading it carefully is the most useful ten minutes in this evaluation.
IDEA GT is €9,900 in year one. The vendor states that this covers the software, the data set-up, and the first year's subscription, which is itself valued at €1,260. From year two it is €1,260 per year. Those figures were confirmed unchanged against the vendor's site in September 2026.
At steady state that is genuinely inexpensive — roughly €105 a month for a full planned maintenance and ISM system with unlimited mobile users. Any vendor claiming IDEA is expensive on an ongoing basis is not reading the page.
The year-one number is the friction. €9,900 before a single work order is raised is a capital decision rather than a software subscription, and it has to be justified upward to an owner or a board. For a single owner-operated vessel it is close to prohibitive; OwlMar's Captain tier at $99 a month reaches roughly the same annual figure as IDEA's steady state with no entry wall at all, and the Skipper tier is free permanently.
But here is the part that a fleet buyer has to see clearly, because it is not visible from the pricing page. IDEA GT is restricted to motoryachts under 400GT and sailing yachts under 100GT. Gross tonnage measures enclosed volume rather than length, so the cut-off shifts with hull form, but in practice a 400GT ceiling excludes most motoryachts much above the mid-thirty-metre mark.
Which means the published price does not apply to the fleet. A management company running 40m-plus hulls is buying the "total solution", and that pricing is not published anywhere. No list price, no per-vessel figure, no indicative range. The €9,900 that appears in every search result for IDEA pricing is the number for the smallest vessels the company sells to.
That is not a criticism of quote-based selling, which is normal at this end of the market and often produces a better price than a list. It is an observation about what a buyer can do before making contact. OwlMar publishes the full ladder:
- Skipper — free permanently. Up to 2 vessels, 10GB storage, 50 AI queries per month, mobile app with offline mode
- Captain — $99/month, 1 vessel included, additional vessels $99 each. Unlimited AI queries, predictive maintenance, advanced reporting
- Charter — $299/month, 3 vessels included, additional vessels $149 each. Adds charter management, guest portals, charter financial reporting
- Fleet — $999/month, 5 vessels included, additional vessels $199 each. Adds multi-company management, advanced analytics, custom integrations, a dedicated account manager
- Enterprise — quote-based, adding white-label branding, REST API and webhooks, multi-client data segregation and contractual SLAs
There is no setup fee at any tier, paid tiers carry a 14-day trial, and annual billing saves 20% on the base plan and included vessels.
Run the arithmetic on a thirty-vessel managed fleet and the shape of the difference appears. On OwlMar's Fleet tier that is $999 plus twenty-five additional vessels at $199, so $5,974 a month — about $71,700 a year at list, before the annual discount. On IDEA, the honest answer is that the number cannot be produced. If all thirty hulls somehow qualified for GT, year one would be €297,000 and the steady state €37,800 — cheaper per hull in the long run and far more expensive to start. But a thirty-vessel superyacht fleet does not qualify for GT, so neither of those figures is the real one, and the real one requires a sales cycle.

Where IDEA Yacht Is the Right Answer
There are fleets that should stay, and a comparison that cannot name them is not worth reading.
A purely private technical fleet. No charter, no guest commercial layer, no APA. Owner reporting that is genuinely about machinery status and budget rather than revenue. For that operation, OwlMar's charter capability is a column in a table with nothing in it, and IDEA's maintenance and compliance depth is doing the actual work.
A fleet with heavy build and refit exposure. If vessels routinely go through major yard periods and the 360° documentation is being used properly, that is a compounding asset nobody else offers. Walking away from an accumulated photographic record of five hulls' machinery spaces is a real cost, and it should be weighed as one.
A fleet where the incumbency itself is load-bearing. If the management agreement was won partly on systems, if owners were shown a vendor with a 25-year history, or if the technical director's credibility is attached to that choice, the switching cost is political as much as operational. That is a legitimate reason to stay and nobody should pretend otherwise.
A crew that already knows it. Twenty-five years of installations means a real pool of engineers who trained on IDEA. On a vessel with high crew turnover, a system the next engineer has probably used before has an operational value that does not appear on a feature grid.
The scenario where the comparison genuinely tips is narrower and more specific: a fleet with a commercial charter side currently living outside the PMS, or one absorbing vessels with inconsistent records where the bottleneck is finding and standardising information rather than storing it.
Two Buyers, Two Different Questions
The same comparison reads differently depending on which chair it is read from, and both chairs exist in the target market.
The management company director runs thirty-plus vessels under different flags, against ISM and flag-state audit calendars that do not align, on a management fee in the region of ten to fifteen percent. Every vessel taken on arrives with a different combination of paper, spreadsheets and whatever the last technical manager preferred, and the team loses twenty-plus hours a month compiling owner reports by hand.
For that reader, IDEA FLEET is a real answer to half the problem — the technical and compliance half, answered with more years of evidence than OwlMar can offer. What it does not answer is the reporting tax, because the numbers in an owner report come from both the technical system and the commercial one. So the question worth taking into a demo is not which system has more maintenance fields. It is: after implementation, how many systems does a single vessel's record still live in? The chief engineer on a 40m-plus has a different problem. Eight to twelve hours a week disappear into compliance documentation and maintenance logs, on a system inherited from a predecessor as a mixture of spreadsheets, paper binders and a half-abandoned account nobody updates. Connectivity offshore is poor and unreliable in many marinas, which makes a lot of cloud tooling useless at exactly the moment it is needed.
For that reader IDEA is a strong technical fit, and the NFC tag workflow in particular is well-judged — recording a task against the physical equipment rather than transcribing it later is how data stays clean. Two questions decide it. First, offline behaviour: a mobile app is not the same as a mobile app that works with no signal and reconciles afterwards, and that needs demonstrating rather than confirming. Second, retrieval: how long does it take, in the demo, to answer "when was this last serviced and what did the report say" — and does the answer require already knowing where to look. How to Run This Evaluation
Neither vendor's material will settle this. Four steps will.
Count the systems per vessel, not the features per system. For each hull, list everything holding a copy of the vessel record, the crew roster or the calendar. Two or more means duplicate entry is already happening, whether or not anyone has costed it. Do this before opening a feature grid, because the answer frequently decides the question on its own.
Get the quote that matters. If the fleet is above 400GT, the €9,900 figure is irrelevant and should be set aside entirely. Ask IDEA for total-solution pricing against the real hull count and the real module set, and ask whether it is per vessel, per module, per user or per platform. The shape of the pricing matters more over five years than the first-year number.
Demand the export specification in writing. From both vendors. Not "can we export" — the actual format, a sample file, and who owns the data. IDEA publishes nothing on this; that makes it a question to ask, not a conclusion to draw. This single answer determines whether the decision made now is reversible in five years.
Time three tasks in each demo, on the same vessel data. Raise a work order from a mobile device with the network disabled. Retrieve a service history answer for a specific piece of equipment. Produce a month-end owner report. Whichever platform wins those three will win the year, regardless of which one wins the table.
The last of those three is the one most likely to expose the difference, and the one least likely to be offered unprompted.
